How Rotavela handles account, rota, household and subscription information.

2. What information we handle
When you register or use Rotavela, we may process your email address, account identifiers, authentication status, selected shifts and rota patterns, leave, overtime and estimated pay information, tasks and events, preferences, locally saved or cloud-synchronised planner entries, and technical diagnostic/security information. If you use household features, information may include household invitations, linked adults’ availability, care times, childcare settings and optional nicknames. We aim not to require children’s full names, schools, addresses or medical details. Payment information held by us is limited to customer/subscription identifiers, plan, status, renewal dates and related billing records; Stripe handles card and payment-method entry.
3. Our purposes and lawful bases
We use account and planner data to provide the functions you request, ordinarily on the UK GDPR lawful basis of performance of our contract with you. We use relevant transaction records to comply with legal and accounting obligations. We use necessary technical logs, account verification and safeguards to protect the service and prevent fraud under our legitimate interests, balanced with users’ rights. Any optional marketing that legally requires consent will be based on an affirmative opt-in, and you can withdraw that consent.
4. Automatic cloud sync and device data
When you sign in and use supported household features, Rotavela automatically uploads and retrieves shared rotas, events, tasks and other household lists while your device is online. Cloud synchronisation of some personal planner and school settings may require additional setup or an explicit save, depending on the feature; offline changes can remain on the device until connectivity returns. Local planner data, backups, preferences and session information may also be stored on your browser or device. You can manage household membership and sharing permissions from your account. If you separately enable device-calendar access, your selected calendar information is used according to device permissions and the options you choose. Clearing browser storage or uninstalling the app can remove local-only data; server records and billing records are separate.
5. Household sharing and children’s information
Household planning is optional. Once an invited adult joins, shared rota availability, school and care settings, events, tasks, shopping, meals, expenses and notes may synchronise automatically and be visible to household members according to their permissions. An individual’s detailed earnings and personal payroll entries are not intended to appear in the partner’s household view. Household members can lose access when removed, but previously saved or downloaded copies cannot necessarily be recalled. The service is for adult account holders; use nicknames and the minimum necessary details when planning around children, and avoid entering children’s medical details or other unnecessary sensitive information. A care gap or calendar entry is not confirmation that anyone will provide childcare.
6. Service providers and international transfers
We use Supabase for authentication and cloud data, Vercel for website hosting and server functions, and Stripe for website subscriptions. Optional identity providers or device calendar services may be involved where you choose those functions. The active Rotavela Supabase project is hosted in the EU (Ireland region). Other providers and support operations may involve processing outside the UK. Where UK international-transfer rules apply, we will rely on appropriate safeguards and provide more information on request.
7. Retention, exports and deletion
Cloud planner and household records are held while the account and household remain active, subject to deletion requests and necessary legal, accounting, fraud-prevention and security retention. The planner currently retains up to three earlier cloud revision backups per account. Device archives, hosting and authentication logs, provider backups and billing records can have different retention periods under the relevant provider and legal requirements. Request an account export or data deletion using the in-app controls where available or by contacting support. A subscription cancellation stops future renewal under the applicable terms but does not itself delete the account; conversely, account deletion should not be assumed to cancel recurring charges.
8. Your rights
Depending on the circumstances, you have rights to access, correct, erase or restrict use of your information, to object, and to receive certain data in a portable format. Where we rely on consent, you may withdraw it. Contact support@rotavela.co.uk to exercise a right or request an export or account deletion. You may complain to the UK Information Commissioner’s Office. We may need to verify that a request comes from the relevant account holder.
9. Security and changes
We use account authentication, restricted database access and payment-provider validation to protect information, but no online system can guarantee absolute security. We may update this notice as the service changes; material changes will be made available on the website and, where appropriate, communicated to account holders.
